ITCCCA-SOUTH OFFICER DESCRIPTIONS

President:   Roland Brent, Bloomington H.S. 

1. Responsible for the running and development of ITCCCA

2. Communicate with all officers on a quarterly basis.

3. Represent ITCCCA at IHSA Advisory board meetings for track & field and Cross Country XC.

4. Run the early and late fall meetings.

*Serves two-year term after serving two years as President-elect.   Present term will expire in January of 2009.

President Elect: OPEN

1. Take over the Presidents duties if he/she is unable to perform above stated duties

2 After the two-year term he/she will become the president.

3. Will oversee the following offices; All state Cross-Country, Coach of the Year Awards, Recognition Awards, Historian, All State Track & Field, Junior High School Representative, Officials Representative, Video Rental Director, ITCCCA Tidbits Editor.

*This is a two-year term and the candidate will be chosen from nominations made by the members of ITCCCA-South and voted on by the membership at the January clinic.

Past President:  

1. This position is an advisory position to the current president.

2. This is a two-year position held by the previous president.

Finance Director: Jim West, Murphysboro H.S.

1. Responsible for all financial matters of ITCCCA.

2. Keep track of the financial books.

3. Collect ITCCCA membership dues.

4. Dispense funds to members with receipts for ITCCCA matters.

5. All reports and records should be kept on a PC format.

6. Run registration for the January clinic.

Assist. Finance Director: 

1. Perform the duties of the Finance Director when not available

2. Obtain the current directory information (affiliated school, school address, home address, school and home telephone numbers, fax numbers, position held, office held in ITCCCA if applicable and e-mail address) on all ITCCCA members. Have a directory prepared with this information for distribution at the January clinic.

3. The directory and records should be kept on a PC format.

4. Assist in the clinic registration for the January clinic.

All State Track and Field Director: Neil James, O'Fallon High School

1. Record the All State selections on a PC format.

2. Obtain and record the top three performances at the boys and girls state track meet. From these performances pick the top three, regardless of class (A or AA). These athletes will be designated as the All State Athletes in their events.

3. Obtain plaques for each of the All-State award winners.

4. Dispense the plaques at the fall meeting.

5. Pass out the list of All-State athletes at the fall meeting and January clinic.

6. Forward a copy of the All-State athlete list, including the athlete's hometown and school, to the Publicity Director, Historian, Web Page Director and ITCCCA Editor as soon as possible after the state meets series. Please include the athletes hometown, and school.

Senior All Star Meet Directors: Belfred Clark, East St. Louis Senior

1. This position requires two coaches, one for the guy’s team and one for the girl’s team. They are responsible for recruiting athletes for the Senior All Star Meet.

They will be responsible for coordinating recruitment with the head coaches for the meet (presently John Nalley and Charlie Morgan). Please send info to them that includes the athlete’s name, hometown, school and telephone number.

Junior High Representative: Jim Newell, Illini Central Middle School

1. Responsible for organizing a Junior High Portion at the January clinic.

2. Obtain and keep current a directory of all junior high coaches, including e-mails.

3. Develop and promote ideas for interaction between junior high and high school coaches.

4. If possible please keep all records on a PC format.

Officials Representative: NEEDED

1. Develop and maintain a committee responsible for choosing the official’s award every year.

2. Maintain a current directory of all registered officials and pass this out at the January clinic.

3. Develop and promote ways for officials to become more involved in ITCCCA.

4. Organize and run the Officials clinic in conjunction with the January ITCCCA clinic. 5. Compile the names of the award winners and send them to the Vice President, Publicity Director, Historian, ITCCCA Tidbits Editor and the Web Page Director as soon as possible

Video Rental Director: NEEDED

1. Responsible for the care and upkeep of ITCCCA’s video library.

2. May purchase new videos with the Vice Presidents approval.

Responsible for sending videos and collecting all monies from their rental.

3. Responsible to send all monies earned from the rentals to the Finance Director on a quarterly basis.

Class A Representative: B.J. Ogata, Staunton High School

1. Represent the needs and wants of the class “A” school. This person should represent both the boys and girls schools.

2. Work with the IHSA representative so that the class “A” schools may be properly represented at the IHSA.

Class AA Representative: Michael Sullivan, Peoria Notre Dame HS

1. Represent the needs and wants of the class “AA” school. This person should represent both the boys and girls schools.

2. Work with the IHSA representative so that the class “AA” schools may be properly represented at the IHSA.

Class AAA Representative: Steve Destri, Normal Community West H.S.

1. Represent the needs and wants of the class “AAA” school. This person should represent both the boys and girls schools.

2. Work with the IHSA representative so that the class “AAA” schools may be properly represented at the IHSA.

IHSA Representative:Mike Garcia, Lanphier H.S.

1. Lobby the IHSA representing the interest of ITCCCA.

2. This person would work closely with the president in communicating with the IHSA issues that ITCCCA feels need to be addressed.

3. Keep current on all the current and possible changes that could occur in the IHSA that might affect the members of ITCCCA.

Hall of Fame Committee Members:Greg Walters, Centennial H.S.; Angelo Rinchusio, Mt. Zion H.S.; Jerry Parsons, Normal University H. S.

1. Responsible for attending the annual fall Hall of Fame meeting in Arlington Heights and voting on the nominations made for the current year.

2. Contact all members (South) that are elected to the Hall of Fame for that year.

3. Get the names, including hometown, and school from the Hall of Fame Director (North) and relay that info to Publicity Director, Historian, ITCCCA Tidbits Editor and the Web Page Director as soon as possible.

4. If possible please keep all records on a PC format.

All-State Cross-Country Selection Director: Andy Edgar, Quincy Notre Dame HS

1. Select the top 10 boy and girl finishers at the state meet in each class affiliation.

2. Obtain plaques for each of these individuals. These plaques should be passed out at the clinic in January.

3. Compile the All-State team names and send them to the Publicity Director, Historian, ITCCCA Tidbits Editor and the Web Page Director as soon as possible. Please include the athlete’s hometown and school.

4. If possible please keep all records in a PC format.

Coach of the Year Director: NEEDED

1. Responsible for creating, distributing, collecting and determining the winner of Coach of the Year Ballots.

2.Responsible for obtaining the coach of the year plaques.

3. Responsible for awarding these plaques at the annual ITCCCA luncheon.

4. Send a letters of notification to the award winners. This award is decided for class “A” and class “AA” boy’s cross-country, girl’s cross-country, boy’s track and girl’s track.

5. Compile the names and send them to the Publicity Director, Historian, ITCCCA Tidbits Editor and the Web Page Director as soon as possible. Please include their hometown, school and telephone number.

Recognition Award Director: NEEDED

1. Collect all recommendations for the Recognition Award

2. Go through the recommendations and bring the top choices along with summaries to the officers meeting in November.

3. Run the voting for the award winners at the November meeting.

4. Contact all the award recipients and invite them to the luncheon in January.

5. Run the Recognition Award portion of the January luncheon.

6. Compile the names and send them to the Publicity Director, Historian, ITCCCA Tidbits Editor and the Web Page Director as soon as possible. Please include their hometown, school, and telephone number.

7. If possible keep all records in a PC format.

Historian: NEEDED

1. Responsible of keeping track of all award recipients. The historian should collect their full name, the year they won and the school they were from. This should be done for all award recipients including the Hall of Fame recipients.

2. Responsible for keeping track of all the officers from year to year. The historian should collect their full name, the years they were officers and the school they are from.

3. Keep records of the Mid-East cross-country Meet. Have the athlete's names, they school they were from, what year they were involved and how they finished.

4. Keep records of the Mid-East Senior all-star Meet. Have the athletes names, they school they were from, what event they did, what year they were involved and how they finished.

5. Take pictures wherever and when ever they see fit. These pictures can then be posted on the web site.

6. Keep track of all records in a PC format if possible.

Fall Meeting Facilitator: NEEDED

1. Arrange all the necessary things that need to be done to host our fall meetings.

2. This includes arranging the physical building, food, beverage, and a speaker for the evening.

3. Two meetings a year must be arranged, an early fall meeting (usually held in September) and a late fall meeting (usually held in December).

Publicity Director: NEEDED

1. Develop ways to publicize ITCCCA throughout the state.

2. Work closely with the IHSA advisor to strengthen our political position in the state.

3. Create a telephone, fax and e-mail address book of the sports department for the newspapers in the state. This will be used to send all the sports and organization information that the publicity director gets from other officers.

4. Publicize our clinic.

Clinic Director: NEEDED

1. Oversees all aspects that relate to the ITCCCA January clinic.

2. Obtains speakers for the clinic.

3. Determines time schedule and room assignments of all clinicians.

4. Coordinates the jobs of the Clinic Facilities Director, Vendors Director, Reception Director, Clinic Gifts Director and Hall of Fame Receiver.

Clinic Speaker Liaisons (by event area):

1. Will collect names of speakers that members are interested in hearing and will contact those persons after conferring with the officers and clinic director.

 

Clinic Facilities Director: Angelo Rinchusio

1. Obtains permission to use Millikin University.

2. Works with Clinic Director in room arrangements.

3. Arranges the food and set up for the luncheon.

4. Arranges all necessary audio & video equipment needed by the clinicians.

5. Arrange all necessary tables for the vendors. T

Vendors Director: Steve Destri, Normal Community West H.S.

1. Responsible for obtaining vendors for the January clinic.

2. Responsible for working with the Web Page director to put the vendor’s link on our page.

3. Responsible for collecting monies from the vendors and giving that money to the Financial Director.

4. Responsible making sure vendors have assigned areas at the clinic.

Clinic Gifts Director: Greg Walters, Centennial H.S.

1. Responsible for arranging the thank you gifts for each clinician.

2. Responsible for arranging for the item that will be given to each attendee.

3. Assist the Vendor Director with collection of the door prizes.

Clinic Historian: NEEDED

1. Work with the Historian to keep all records important to the January clinic.

2. Take and prepare pictures of important events at the clinic.

3. Work with the Web Page Director that some of these pictures are published on the web page.
